How to plan a guided UTV team retreat in Arizona
A practical planning guide from the outfitter that runs them — headcount, season, timing, transport and budget, in the order you actually need to decide them.
Plan a guided UTV team retreat in six decisions: lock your headcount, pick a season, choose midday or sunset, decide whether the group drives itself or goes fully private, arrange transport from the hotel or office, then confirm. For a group of 20 in peak season (October–April), start about six weeks out. Budget from $150 per person for a shared two-hour guided tour, or from $349 for a fully private departure.

Six decisions, in the order they matter
Each one narrows the next. Get the first three right and the rest is logistics.
Lock the headcount before the date
Vehicle availability, not calendar availability, is what limits a retreat. Our sand buggies seat two, so a team of 20 needs ten machines on the same departure. Groups of two to about a dozen can usually slot into an existing tour; beyond that you are effectively booking a private departure and the date needs to flex around the fleet.
Give us a range rather than an exact number. “18 to 24” lets us hold the right block; a hard 20 that becomes 26 a week out is the single most common way a retreat plan comes apart.
Pick the season honestly
October through April is Sonoran Desert prime: daytime highs in the 70s and 80s, and the season every conference and offsite is competing for. May through September is hot, and midday tours in June and July are genuinely demanding.
That does not rule out summer — it changes the time of day. A summer retreat runs at sunset, when the desert drops into the 90s and the light is at its best. It is also when availability and pricing are friendliest.
Choose midday or sunset
Midday tours suit agendas that continue afterwards — a morning of sessions, the desert at 1pm, dinner in Old Town by 7. Sunset tours suit retreats where the drive is the evening: the group finishes in the dark, energised, and goes straight to dinner.
Arizona does not observe daylight saving, so sunset moves a long way across the year: roughly 5:20pm in December against 7:40pm in June. That shifts your whole evening agenda. Check the month before you promise anyone a dinner reservation.
Decide shared or fully private
On a standard guided tour your team drives alongside other guests. Everyone still gets their own machine and the same guide-led route — it simply is not exclusively yours. For most teams that is fine and it is the better value.
A VIP private departure gives the group the trail, the guide and the start time to itself. Choose it when there are clients or executives in the group, when you want a start time that is not on the public schedule, or when the point of the day is that the company laid something on.
Solve transport early, not last
The staging area sits in the Tonto National Forest off the Beeline Highway — a straightforward drive from Scottsdale, Phoenix and the East Valley, but not somewhere a team of 20 should self-navigate in eight rental cars. Round-trip transport from your hotel, office or venue is available for an additional charge.
Book it at the same time as the tour. Transport is the piece most often left until the week before, and it is the piece most likely to be unavailable.
Confirm the roster and the requirements
Drivers must be 16 or older and hold a valid licence. Passengers must be at least 8. Anyone who would rather not drive can ride along — there is no fitness requirement and no experience needed, which is what makes this work for a whole team rather than the outdoorsy half of it.
Corporate bookings are non-refundable within 14 days of the tour, so the roster wants to be firm by then. Outside that window the standard policy applies: cancel at least 48 hours ahead for a refund less the per-buggy fee.

Guidance for peak season, October through April. In summer you can move considerably faster.
